General Questions

1. Is your Standard Mail really as fast as 1ST Class?

Yes!  You can get 4-65 day delivery anywhere in the continental U.S. if your mail is going into a single state or metropolitan area. If your mail is spread out across several different states it will travel at regular standard mail speed [1-3 week delivery].

 

We do this by drop shipping your mail directly into your area. The cost is about the same as standard mail and it gets there very fast. We will analyze your mailing list for free and tell you how fast your mail will travel.

3. What methods of payment do you accept?

You can pay by check or credit card. However, if you pay for postage with a charge card there is a 3% processing fee on the postage only [3.4% for AMEX]. The U.S. Postal Service does not accept charge cards for standard class mail. We have to process your card, pay the fee and write them a check. If you pay by check there is no additional charge.

 

4. How long does it take to print and mail?

Once your design is complete your letter will be printed and mailed within 2-3 business days. Your postcard can be mailed in 5-7 business days.

 

5. How does mail merge work?

Direct mail is proven to work better when you personalize your letter or postcard. Instead of saying "Dear Sir", you can say "Dear John" using mail merge. But there is much, much more.

  • If you know their favorite brand or flavor, you can CHANGE that brand or flavor FOR EVERY CUSTOMER.

  • You can use different account numbers, account balances or calculated data - like different payment amounts.

  • You can use different dates, times, locations, names, places etc.

  • You can use different phone numbers and extensions for your different sales people or for tracking.

  • You can refer to the client personally again and again in your letter.

  • You can change each letter to test the difference in your response rate.

  • You can make different offers to see which works better.

You can merge any data you have in your mailing list into your letter or postcard. So you could assign a different account number to each person on your list, or a different time, date, special offer etc. As long as it's in your mailing list you can merge the information. If you are not sure how to add information to your mailing list we will help you do it.

 

Mail merge is extraordinarily powerful. It will increase your response and make your mailing more profitable. Note: Mail merge is only available on the front of your letter and on the back of your postcard.

 

6. Do I have to understand how mail merge works to use it?

No. All you do is decide what information you want to merge into the letter or postcard. As long as the information is in your mailing list or can be added to your mailing list it can be merged into the document. We will do it for you.

 

7. Is there a charge for mail merge?

No. Mail Merge is FREE as long as the merge information is included in your mailing list.

 

8. How much does it cost to mail?

There are four costs when mailing - design, printing, a mailing list and postage.

  • Mailing lists can cost anywhere from .04 cents to $1 per name or more. It depends on who you are trying to reach. But most lists only cost .10 cents or so per name, and you can mail it over and over again. If you already have a list there is no cost.

  • Standard postage costs are included in our easy, flat rate pricing. First class postage will add approximately .13 cents more to your mail piece.

  • Designing a letter can be easy [and free]. You can do it yourself in Microsoft Word. If you need help with writing or design, we charge just $39 per hour for design services.

  • Printing your letter is the final cost. Here is the breakdown:

10. What is your minimum order size?

2,500 pieces. This will give you a statistically measurable response from your prospects and you can make an educated decision about whether to send more mail based on your actual results.

Mailing Services

 

1. What is included in your mailing service?

First we run your mailing list through Certified Postal Software. You get CASS [9-digit zip code correction] and Delivery Point Verification certification . We also look for duplicates and addresses that are not deliverable. Unlike many companies, there is no charge for this service.

 

We then create the required paperwork for the postal service [a postage statement], and send that statement to you. This way you will see the exact cost of your mail.

 

Your letters or postcards will be addressed with bar codes. This gives you the lowest cost postage possible. The address shows through the window in the envelope.

 

When we deliver your mail to the post office, they will stamp and sign your postage statement. We will send you a copy of your stamped and signed postage statement, along with your CASS report and a cash register receipt from the post office showing your mail drop. Everything is included.

 

2. Where are my letters mailed from?

We offer two different services depending on what gives you the fastest delivery time. Mail can be sent from the main bulk mail post office in Northern Virginia. Or it may be faster to use our drop shipping method. This will get your standard mail delivered almost as fast as First Class mail for the price of standard. We will review your options with you.

 

3. How long until my mail gets delivered?

Our drop shipment mail service gets you 3-5 day delivery - all for the same cost. First Class mail will get delivered anywhere in the country in just a couple of days.

 

4. How do I know when my letters or postcards are mailed?

You will receive confirmation when your mail is sent.

  • You get a copy of your paid postage statement - signed, stamped and dated by the U.S. postal service

  • You can also track your mail using trackmymail.com. This allows you to see your mail when the USPS scans it.

Plus ALWAYS put yourself and a few other people on your mailing list. This is called "seeding your list". You know all of your mail went out and when your seed letters arrive.

 

5. What kind of mailing list can I get?

Mailing lists are available in a very wide variety. You can get lists by zip cods, cities, states, etc. in almost any category. From home owners, to residents, business owners, new movers or new businesses, to people with children or even animals, almost any list is available. Think about who your best prospect is and then just let us know what you are looking for. We will get the perfect list for you.

 

6. Do you clean my mailing list for delivery?

Yes. Your list will be CASS [9-digit zip code] and Delivery Point Verification certified. We will also sort it for duplications and addresses that are not deliverable.

 

7. What file format do you need my mailing list in?

Excel is our preferred format for accepting mailing lists. But we can work with many different database files types including ACT, DBase, Excel & FoxPro. Please call to check on your specific mailing list format.

1. Can I design my own letter?

Yes - and it's easy using Microsoft Word. Just write your letter and decide what information you want to merge into it. We will take care of the actual mail merge. Remember you can merge any data that you have in your mailing list into your mail piece. Get your template HERE to get started.

 

2. Can you help me design my letter or postcard?

Yes. Our graphic designers will help you to format an attractive, professional letter or postcard. We can even create a logo for you. All design services are provided at just $49 per hour.

 

3. Can you help me to write my letter or postcard?

Yes. We have professional copywriters on staff if you need assistance for just $69 per hour.

You want to be very careful when you write your mail piece. Make sure it is very easy to read and understand. Use simple, everyday language with short sentences and paragraphs. Use a simple, clean layout. And don't forget that a good headline and subheadings will grab attention, draw in the reader and help them to understand your letter or postcard. Always make a specific offer that they can respond to, and make sure and tell them exactly what you want them to do.

 

Remember the power of mail merge - the more personalized your letter or postcard is, the higher response you will get. You can merge any data, any place in your letter. Use mail merge to increase your response rate.

Yes. Our professional graphic designers can help with all of your design needs. Help is available to you for just $59 per hour.

 

5. What color paper can I use?

White, green or pink papers are available on letters. Other colors are available upon request. We strongly recommend white paper because it gives you the most professional presentation. We use high quality, 24lb color papers. Your customers can actually feel the difference with the heavy quality paper.

 

6. What kind of envelopes do you use?

We use a double window, 24lb white wove #10 business envelope. This gives you a very professional presentation. You can show your special offer, logo, return address or anything else you want through the second window in FULL COLOR!. Plus our standard mail stamp indicia looks like First Class mail. This builds more trust with your customers. You can see a sample HERE.

 

Other special envelopes are available at an additional cost. Please call for pricing.

 

7. Can I print on the back of my letter?

Yes. But there is no mail merge available on the back side of our letters. All merged data can only appear on the front of your letter. It costs just .03 cents to print the back of your letter in black & white.

Yes. But remember that this is a letter - not a brochure. If you need to show many products or services you should use a brochure and insert it with your letter. Your letter SELLS. A brochure SHOWS. A good letter will work all by itself, but even a great brochure will fail if you don't include a sales letter in your mailing.

 

5. Can I just have you print the letters or postcards and send them to me?

Yes. But remember that you will be paying full price for the postage if you mail the letters or postcards yourself.

 

6. What is your turn around time?

Once your design is done we will print and mail your letters in 1-3 business days. Postcards take about 5 business days.
